Sonic Nights – General Event Terms and Conditions

These terms apply to events organised by Sonic Group Trading Ltd trading as Sonic Nights (“Sonic Nights”, “we”, “us” or “our”).
They should be read together with:
- the information published for the relevant event;
- any event-specific conditions;
- any conditions applying to a particular ticket, product or activity;
- the venue’s reasonable rules; and
- instructions issued by event staff, security personnel or the emergency services.
Nothing in these terms affects your statutory rights.
2. Acceptance of these terms
By purchasing or using a ticket, the purchaser agrees to these terms and any event-specific conditions displayed before the booking is completed.
The person making the booking is responsible for:
- providing accurate booking information;
- checking the event, date and ticket types before paying;
- making these terms available to everyone included in the booking; and
- ensuring that all members of their party comply with them.
Where a purchaser books tickets for other people, they confirm that they are authorised to make the booking on their behalf.
3. Tickets and bookings
Tickets are valid only for the event, date, ticket category and admission conditions stated on the booking confirmation.
All attendees, including children and infants where stated, must hold a valid ticket.
Tickets may be refused or cancelled where they:
- cannot be verified;
- have already been scanned or used;
- have been copied, altered or obtained fraudulently;
- were purchased from an unauthorised seller;
- are being used by someone who does not meet the ticket conditions; or
- have been resold in breach of these terms.
The purchaser is responsible for checking the booking before payment. Sonic Nights is not obliged to refund or amend tickets purchased incorrectly, although we may agree to make changes at our discretion.
Tickets must not be resold for commercial gain or at more than the original total purchase price.
4. Customer cancellation and non-attendance
Tickets are sold for a leisure event taking place on a specified date.
Unless expressly stated otherwise, tickets are non-refundable where the ticket holder:
- changes their mind;
- is unable to attend;
- is ill;
- experiences transport, travel or childcare difficulties;
- arrives late;
- fails to attend;
- purchases an incorrect ticket or quantity;
- chooses not to attend because of actual or forecast weather when the event is proceeding; or
- is refused admission or removed for breaching these terms.
Sonic Nights may permit a ticket transfer or amendment at its discretion, but is not obliged to do so.
Requests must be submitted through our official customer-service contact details. Requests made through personal social-media accounts or informal messages may not be accepted.
Optional refund or booking protection may be offered by a third-party provider during checkout. Any claim is subject to that provider’s own terms, exclusions and evidence requirements.
5. Cancellation by Sonic Nights
If Sonic Nights cancels the entire event before it begins and does not provide a replacement date, customers will be informed of the refund arrangements available to them.
Any refund legally due will be made to the original purchaser and will normally be returned to the original payment method.
Sonic Nights will not be responsible for separate expenses incurred by customers, including:
- travel;
- accommodation;
- meals;
- childcare;
- clothing or equipment;
- loss of earnings; or
- purchases made from unrelated third parties.
This does not exclude liability where it would be unlawful to do so.
6. Postponement and rescheduling
Where an event is postponed or moved to another date, existing tickets will normally remain valid for the replacement date.
Customers will be informed of:
- the replacement date;
- whether any action is required;
- the options available to customers who cannot attend; and
- any deadline for requesting a refund or alternative arrangement.
Where the new date represents a material change, customers who cannot attend will be offered an appropriate remedy in accordance with their legal rights and the published refund arrangements.
Sonic Nights may offer a ticket transfer, credit or alternative event as an option, but this will not remove any right to a refund that applies under consumer law.
7. Changes to the programme
Published running times, performers, activities, attractions, traders and schedules are subject to reasonable change.
Changes may be required because of:
- weather;
- safety considerations;
- performer or contractor availability;
- technical problems;
- licensing requirements;
- venue or landowner instructions;
- directions from emergency services or public authorities; or
- other circumstances beyond our reasonable control.
Minor changes will not normally entitle ticket holders to a refund. These may include:
- changes to running times;
- changes to the running order;
- substitution of supporting entertainment;
- changes to food traders;
- temporary suspension of an activity; or
- withdrawal of a secondary attraction.
Where the date, venue or essential nature of the event is materially changed, Sonic Nights will explain the options available to affected customers.
8. Weather and outdoor conditions
Events may include outdoor activities and may proceed in typical seasonal weather, including rain, cold conditions and moderate wind.
Ticket holders are responsible for:
- checking the weather forecast;
- wearing suitable clothing and footwear;
- protecting their belongings;
- taking care on grass, mud, slopes, temporary surfaces or uneven ground; and
- following weather-related instructions.
No refund will be given where an event proceeds but a customer chooses not to attend because of actual or forecast weather.
Fireworks, flames, inflatables, performances and other weather-sensitive activities may be delayed, moved, shortened or cancelled where reasonably necessary for safety.
Where weather causes the entire event to be cancelled or materially curtailed, Sonic Nights will consider the appropriate remedy in accordance with these terms and the customer’s statutory rights.
9. Fireworks and special effects
Sonic Nights events may include:
- loud fireworks and sudden explosive sounds;
- theatrical flames;
- fire performers;
- smoke or haze;
- flashing, ultraviolet or strobe lighting;
- lasers or bright lighting;
- amplified music;
- low-light areas; and
- other special effects.
Customers who may be affected by loud noise, flashing lights, smoke, crowds or special effects should consider whether the event is suitable for them.
Hearing protection is recommended for babies, young children and anyone sensitive to loud noise.
Attendees must remain behind barriers and outside all restricted, firing, performance and technical areas.
Interfering with fireworks, firing equipment, flames, barriers, electrical equipment, staging or safety installations is strictly prohibited.
10. Admission, searches and conduct
Sonic Nights reserves the right to refuse admission or require a person to leave where reasonably necessary for safety, security or the proper operation of the event.
Customers may be subject to reasonable bag checks or searches by authorised security personnel.
Admission may be refused, or a person may be removed, where they:
- behave in a threatening, abusive, discriminatory or antisocial manner;
- appear dangerously intoxicated;
- possess an illegal or prohibited item;
- ignore safety or security instructions;
- enter or attempt to enter a restricted area;
- damage property;
- endanger themselves or another person;
- cause unreasonable disruption;
- engage in unauthorised trading, promotion or fundraising;
- use a ticket fraudulently; or
- materially breach these terms.
No refund will normally be provided where admission is refused or a customer is removed because of their own conduct or breach of these terms.
11. Prohibited items
Unless expressly authorised, the following must not be brought into the event:
- fireworks, sparklers, pyrotechnics or smoke devices;
- flares or explosives;
- weapons or items intended for use as weapons;
- illegal drugs or psychoactive substances;
- glass bottles or glass containers;
- portable barbecues, camping stoves or naked flames;
- laser pens;
- drones or remotely controlled aircraft;
- gas canisters;
- large sound systems;
- unauthorised generators;
- dangerous chemicals;
- professional recording equipment intended for commercial use; or
- any other item reasonably considered unsafe or unsuitable.
Additional restrictions may apply to particular events and will be published where appropriate.
Illegal items may be reported to the police. Other prohibited items may need to be returned to a vehicle, surrendered or disposed of.
12. Alcohol, smoking and drugs
Alcohol may only be purchased and consumed in accordance with the event’s licensing conditions.
Proof of age may be required, and bars may operate a Challenge 25 policy.
It is illegal to purchase alcohol for anyone under 18.
We may refuse to sell alcohol to anyone who appears intoxicated or unable to provide acceptable proof of age.
Anyone supplying alcohol to an underage person may be removed from the event without refund.
Illegal drugs and psychoactive substances are prohibited.
Smoking and vaping are permitted only in designated areas and must not take place inside buildings, marquees, covered structures, queues, children’s areas or other prohibited locations.
13. Children and supervision
Ticket age categories will be stated during booking.
Unless specifically stated otherwise:
- children and infants must be accompanied by a responsible adult;
- the responsible adult must remain at the event;
- children must be supervised throughout;
- child and infant tickets must be booked with the required adult ticket; and
- age, height or safety restrictions may apply to individual activities.
Parents and guardians are responsible for deciding whether the event’s fireworks, noise, lighting, crowds and activities are suitable for children in their care.
Free infant tickets may still be required for attendance and capacity records.
14. Accessibility and Essential Companions
Sonic Nights aims to make reasonable adjustments for disabled customers and attendees with access requirements.
Customers should contact us before the event where they require specific assistance or information.
A complimentary Essential Companion ticket is intended for a person providing necessary support to a paying attendee who could not reasonably access the event without that assistance.
It is not a general concession or complimentary guest ticket.
We may ask for reasonable evidence of eligibility. We recognise that disabilities and access needs are not always visible and that customers may hold different forms of evidence.
Requests will be handled fairly and sensitively.
15. Accessible and general parking
Accessible parking is limited and should be reserved in advance where offered.
Customers booking an accessible parking space may be required to provide:
- vehicle registration;
- vehicle make or model;
- vehicle colour; and
- confirmation that the space is genuinely required by an attendee with an access need.
The attendee requiring the space must be attending the event.
A Blue Badge may be checked on arrival.
Misuse of an accessible parking booking may result in the vehicle being redirected to general parking.
Parking may be on grass, farmland, hardstanding or temporary event surfaces. Ground conditions may be wet, muddy or uneven.
Drivers must:
- follow signs and marshal instructions;
- drive at walking pace;
- park only where directed;
- keep emergency routes clear; and
- take particular care around pedestrians.
Vehicles and their contents are left at the owner’s risk. Parking does not create a contract for secure custody of the vehicle.
Nothing in this section excludes liability for loss or damage caused by our negligence where that liability cannot lawfully be excluded.
16. Photography, filming and CCTV
Photography, filming and audio recording may take place for:
- event documentation;
- marketing and promotion;
- social media;
- news reporting;
- safety and security;
- crime prevention; and
- incident investigation.
By attending, customers acknowledge that they may appear incidentally in crowd photographs or general event footage.
Where an identifiable person is the prominent subject of promotional photography, consent will be sought where appropriate, particularly in relation to children.
CCTV or body-worn cameras may be used by the venue, security team or event organiser.
Unauthorised professional photography, commercial filming, broadcasting or live streaming is prohibited without prior written permission.
17. Personal property and third-party traders
Customers are responsible for their own belongings.
Sonic Nights is not responsible for property that is lost, stolen, misplaced or left unattended, except where loss or damage results from our negligence.
Food, drink, merchandise and other products may be supplied by Sonic Nights, another Sonic trading brand or an independent trader.
Independent traders remain responsible for the products and services they supply.
Customers with food allergies or dietary requirements should speak directly to the relevant food operator before purchasing or consuming food.
A completely allergen-free environment cannot be guaranteed.
18. Safety, emergencies and early closure
Customers must follow all reasonable instructions given by event staff, security personnel, the venue, police, fire service or other emergency services.
We may:
- suspend an activity;
- delay a performance;
- restrict access to an area;
- evacuate part or all of the event; or
- close the event early
where reasonably necessary because of an emergency, severe weather, fire, crowd conditions, security concerns, technical failure or instructions from a relevant authority.
Where an event is materially curtailed, Sonic Nights will consider the appropriate remedy having regard to:
- how much of the event was delivered;
- which principal attractions took place;
- the reason for the curtailment;
- whether the event can resume or be rescheduled; and
- the customer’s statutory rights.
A full refund is not automatic where a substantial part of the event has already been delivered.
Accidents, injuries, safeguarding concerns, lost children or property damage should be reported to event staff promptly and, where reasonably possible, before leaving the site.
19. Events beyond our reasonable control
Sonic Nights will not be responsible for a failure or delay caused by circumstances beyond our reasonable control, except where consumer law requires otherwise.
These circumstances may include:
- extreme weather;
- flood or fire;
- epidemic or public-health emergency;
- terrorism or a credible security threat;
- civil disorder;
- industrial action;
- utility or infrastructure failure;
- failure of a venue or essential supplier;
- withdrawal of required permission;
- action by emergency services or public authorities;
- changes in law or licensing requirements; or
- national mourning.
This clause does not remove any statutory right to a refund or other remedy.
20. Liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so.
This includes liability for:
- death or personal injury caused by our negligence;
- fraud or fraudulent misrepresentation; and
- any other liability that cannot lawfully be excluded.
Subject to those exceptions, Sonic Nights is not responsible for loss or damage that:
- was not reasonably foreseeable;
- resulted from the customer’s own act or omission;
- resulted from failure to follow reasonable instructions;
- was caused by another attendee or unrelated third party; or
- relates to business or commercial activity.
Nothing in these terms requires customers to accept risks caused by our negligence.
21. Personal information
Personal information may be used to:
- administer bookings;
- issue and validate tickets;
- communicate important event information;
- manage accessibility and parking arrangements;
- prevent fraud;
- respond to incidents or enquiries;
- comply with legal obligations; and
- protect the safety and security of the event.

22. Complaints and contact
Immediate safety, accessibility or customer-service concerns should be reported to event staff so that we have an opportunity to address them.

23. Changes to these terms
The terms applying to a booking will normally be those published when the booking is made.
We may make reasonable updates where necessary to:
- comply with the law;
- meet a material safety requirement;
- correct an obvious error; or
- clarify wording without materially reducing an existing customer’s rights.
Material event-specific changes will be communicated where reasonably practicable.
24. Governing law
These terms are governed by the laws of England and Wales.
If any part of these terms is found to be unlawful or unenforceable, the remaining provisions will continue to apply.
